Sort the inbox and draft the replies
Your inbox sorted, with today's replies drafted.
What it does
Sorts a pile of emails into reply, delegate, schedule or archive, then drafts the replies that matter today. Replaces the morning lost to deciding what to do with each email.
Use it when
When the inbox has got away from you, or as a daily first pass.
What you need
- Up to 20 emails
- Who you can hand things to
- Your brain file Use the template
- Your policies: payment terms, cancellations, turnaround Use the template
Connect these for better results
- Gmail (MCP connector)Big differenceReads the inbox directly instead of you pasting emails, and can save the replies as drafts for you to check and send. Claude's built-in connector; check availability on your plan.
The prompt
Copy it, fill in the [BRACKETS], and paste it into Claude.
Use my brain file (in this Project, or pasted below) for what we sell and how we sound. If you don't have it, ask me for the basics first.
Emails from my inbox, oldest first: [PASTE UP TO 20. REMOVE ANYTHING PRIVATE YOU DON'T WANT TO SHARE]
Who I can hand things to: [NAMES AND WHAT EACH ONE LOOKS AFTER, OR "JUST ME"]
1. Sort them into a table: Sender and subject | What they need | Action (REPLY TODAY, DELEGATE TO a named person, SCHEDULE or ARCHIVE) | Why. Most urgent first.
2. Draft a reply for every REPLY TODAY email and only those, under 120 words each.
3. List anything about money, a complaint, a deadline or a legal question separately, so I handle it myself.
Use only facts from my brain file and the emails. Don't promise dates or prices I haven't given you. Don't state tax, legal or ATO-style rules in a reply: write [CHECK RULE: what needs confirming]. Replies can't promise that anyone will call, visit or finish anything by a time: write [CHECK: who will do what, and when]. Mark anything else you're unsure of with [CHECK].
Last step before you reply: check every number, date, time, timeframe, cost, name and "usually" in your drafts against my brain file and the emails. Replace anything that isn't there with [ADD: what's needed].
