Privacy policy

Plain English, and specific about who touches your data. If anything here is unclear, email hello@raamaimarketing.com and you will get a real answer.

AI Ready Marketing (AI Ready Marketing, "we", "us", "our") handles personal information in line with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). This policy covers this website, our marketing and outreach, and the work we do for clients.

1. What we collect

We collect the minimum needed to answer you and to do the work:

  • Information you give us. Name, business name, email address, phone number if you provide it, and whatever you write in a form or an email.
  • Booking information. If you book a call, the details you enter into our scheduling provider, and the meeting record afterwards.
  • Usage information. Pages visited, approximate location derived from IP address, device and browser type, referring source, and how you moved through the site.
  • Business contact information from public sources. For business-to-business outreach we use contact details a business has published on its own website or public listing. We do not buy contact lists, and we do not use personal addresses scraped from directories.
  • Client data during an engagement. Whatever your systems contain, which may include your own customers' personal information. Section 6 covers how that is handled.

We do not collect sensitive information as the Privacy Act defines it (health, racial or ethnic origin, political opinions, religious beliefs, sexual orientation, criminal record or biometrics). Please do not send it to us.

2. Why we collect it

  • To reply to your enquiry and to deliver work you have engaged us for.
  • To send material you specifically asked for, such as a case study.
  • To understand which parts of this site are useful and which are not.
  • To contact businesses that may be a fit for what we do.
  • To meet our record-keeping, tax and legal obligations.

We do not sell personal information. We do not share it with third parties for their own marketing, and we do not disclose it to anyone other than the providers listed below and where the law requires it.

3. Who processes data on our behalf

These providers process data for us under their own terms. Where a provider stores data outside Australia, we have taken reasonable steps under APP 8 to confirm they handle it to a comparable standard, but by using this site you consent to that overseas transfer.

4. Marketing email and LinkedIn outreach

We run business-to-business outreach. Under the Spam Act 2003 (Cth) this operates on inferred consent: the address is published by the business itself, and the message relates to that person's role. To keep that defensible we only ever use addresses published on a business's own website or public listing, and we keep a record of where each one came from.

Every marketing message we send:

  • identifies us accurately, including a real business name and contact details;
  • carries a working unsubscribe link;
  • is honoured within five business days of an opt-out, permanently, and across both email and LinkedIn rather than just the channel you replied on.

The tools involved:

  • Apify. Collects business listings published on Google Maps and public websites.
  • AnyMailFinder. Verifies that a published business email address is deliverable.
  • Instantly. Sends and tracks business-to-business email, and manages opt-outs.
  • HeyReach. Manages LinkedIn connection requests and messages.

You can also simply reply and ask to be removed, or email hello@raamaimarketing.com. You do not have to explain why.

5. Artificial intelligence and your data

We build AI systems, so it matters that we are direct about this. In the course of our work, information may be processed by third-party AI models, including:

Our standing rules:

  • We use these providers' business or API tiers, where inputs and outputs are not used to train their public models by default.
  • We do not paste client data into consumer chat interfaces, and we do not use free tiers for client work.
  • Where a system we build for you sends data to a model, we tell you which model, what it receives, and what it retains, before it goes live rather than after.
  • If you would rather a particular dataset never left your own infrastructure, say so at the start and we will design around it. That is a normal request.

6. Client engagements

When we build systems for you, we may need access to your tools and data. That access is governed by the written agreement for that engagement, which takes precedence over this policy where the two differ. In practice:

  • We ask for the narrowest access that lets the work happen, and no more.
  • We act as a service provider to you. You remain responsible for your own customers' data.
  • Access is removed at the end of the engagement. Ask us and we will confirm in writing that it has been.
  • We will not use your data, your documents or your brand voice to train anything we then sell to somebody else.

7. Cookies and analytics

Analytics cookies distinguish one visit from another. You can block them in your browser settings, or install the Google Analytics opt-out add-on. Nothing on this site stops working if you do.

Microsoft Clarity records how visitors move through pages so we can find broken layouts and dead ends. It masks text entered into form fields by default, so it does not capture what you type into a contact form.

Australia does not require a cookie consent banner, so we do not show one. If you are in the EU or the UK and would like your analytics data removed, email us and we will do it.

8. How long we keep it

  • Enquiries that do not become work: deleted within 24 months.
  • Client records: seven years, as Australian tax law requires.
  • Analytics data: 14 months.
  • Opt-out records: kept indefinitely, on purpose. Deleting them is how businesses accidentally email you again.

9. Security

Data is held in access-controlled accounts with multi-factor authentication enabled, and API keys are stored in environment variables rather than in code or documents. No system is perfectly secure. The most effective control available to a business this size is not keeping more than we need, and that is the one we rely on most.

If a data breach occurs that is likely to result in serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

10. Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email hello@raamaimarketing.com. We will acknowledge within a few days and respond within 30 days at the outside. There is no charge for a reasonable request.

We may need to verify who you are first, and there are narrow cases where we cannot delete something, such as records we are legally required to keep. If that applies we will tell you which record and why.

If you are not satisfied with how we handled a privacy matter, raise it with us first and then, if it is still unresolved, with the Office of the Australian Information Commissioner.

11. Children

This is a business-to-business service and is not directed at anyone under 18. We do not knowingly collect information from children. If you believe we have, tell us and we will delete it.

12. Changes to this policy

We update this page when what we do changes, and the date at the top always reflects the current version. Material changes affecting people we already hold information about will be communicated directly rather than by quietly editing this page.
