The awkward email
Two calm versions of the email you've been putting off.
What it does
Drafts the email about extra work, an overdue invoice or a delay: clear, calm, no blame. Replaces drafting, deleting and redrafting an email you've been dreading.
Use it when
Scope creep, late payment, a missed deadline, or any message you keep putting off.
What you need
- What was agreed (the quote or email)
- Your brain file Use the template
- Your policies: payment terms, cancellations, turnaround Use the template
Connect these for better results
- Gmail (MCP connector)Reads the thread so the email quotes exactly what was agreed. Claude's built-in connector; check availability on your plan.
The prompt
Copy it, fill in the [BRACKETS], and paste it into Claude.
Use my brain file (in this Project, or pasted below) for how we sound. If you don't have it, ask me for the basics first.
I need to send a difficult email.
The situation: [WHAT HAPPENED, E.G. CLIENT ASKING FOR EXTRA WORK / INVOICE OVERDUE / WE'RE RUNNING LATE]
What was agreed: [PASTE THE RELEVANT PART OF THE QUOTE OR EMAIL]
What I want to happen: [THE OUTCOME]
The relationship: [NEW CLIENT / LONG-TERM / ALREADY TENSE]
Write two versions, one warm and one firmer. Each one under 150 words: states the facts, says what happens next, and keeps the door open. No blame, no over-apologising, no legal threats. Don't add facts that aren't in what I've given you, including dates and timings; write [ADD: what's needed] instead.
If this touches contracts or debt recovery, tell me to check with someone qualified before I send it.
